When ready-made software is the better choice
- Your process is standard (basic accounting, email, simple HR records).
- You need to start this week and the tool already does 90% of what you need.
- The monthly fee is small compared with the cost of building.
- You do not need to connect it with other systems.
When custom software makes sense
- Your process is your advantage. If the way you operate is what makes you different, forcing it into someone else's tool weakens it.
- You use many tools and spreadsheets and your team copies data between them every day.
- You need integrations with payment gateways, WhatsApp, accounting, courier or your own mobile app.
- Licence fees grow with you. Per-user pricing can become expensive as your team grows.
- You need ownership and control over your data, features and roadmap.
Compare the real cost
Ready-made software looks cheap at the start but add up the whole picture over three to five years: subscriptions for every user, add-ons, setup, training, workarounds and the hours your team loses to manual steps. Custom software costs more up front but you own the code, and you only pay for what you need, plus maintenance.
A middle path
You do not have to build everything at once. Many businesses start with a focused first version (an MVP) that solves the biggest pain point in six to twelve weeks, then add features as the business grows. This keeps risk and cost under control.
